Sharing Files During a Teams Call
Sharing files during a Microsoft Teams meeting allows Forge Marketing team members and clients to collaborate in real time and review materials efficiently.
Step-by-Step Guide
Step 1: Join the Teams Meeting
- Open Microsoft Teams.
- Click the meeting link or join from your Teams calendar.
Step 2: Open the Share Tray
- Once in the meeting, click the “Share” icon (an upward arrow in a box) on the meeting toolbar.
- This opens the Share Tray with options for sharing your screen, window, or files.
Step 3: Select the File to Share
- Upload from Your Computer: Click “Browse” → “Upload from my computer” and select the file.
- Share from OneDrive / Teams Files: Choose a file already stored in your Forge Marketing OneDrive or Teams channel.
- PowerPoint Live: For presentations, select “PowerPoint Live” to allow attendees to navigate slides independently if needed.
Step 4: Collaborate During the Call
- Participants can view the file in real time.
- For documents (Word, Excel), multiple attendees can co-author and edit live if permissions allow.
- Use the chat panel to comment or provide feedback alongside the shared file.
Step 5: Best Practices
- Upload files before the meeting if possible to avoid delays.
- Ensure files are named clearly and placed in the correct folder in Teams/OneDrive.
- Check permissions so attendees can view or edit as needed.
- Stop sharing when the file is no longer needed to keep the screen uncluttered.
