Email Lists & Shared Inboxes
Email remains an important tool for client-facing communication and formal internal updates. To streamline messages and avoid inbox overload, Forge Marketing uses shared email lists (distribution groups) for departments, projects, and company-wide updates.
1. Company-Wide Lists
- all@forgemarketing.com
- Reaches every Forge Marketing employee.
- Used only for leadership announcements, all-hands invitations, and critical company updates.
- leadership@forgemarketing.com
- Executive and department heads.
- For strategic updates, approvals, and leadership-only discussions.
2. Department Lists
- accounts@forgemarketing.com — All Account Managers.
- creative@forgemarketing.com — Design, copywriting, and creative leads.
- strategy@forgemarketing.com — Strategy and insights team.
- digital@forgemarketing.com — Paid media, SEO, and analytics specialists.
- pmo@forgemarketing.com — Project Management Office.
- hr@forgemarketing.com — Human Resources team.
- it@forgemarketing.com — IT and technical support.
3. Project-Specific Lists
- client-[clientname]@forgemarketing.com
- Includes all team members assigned to a specific client or campaign.
- Used for sharing project updates, deliverables, and client communications.
- project-[projectname]@forgemarketing.com
- Temporary list created for large-scale projects (e.g., project-summerlaunch@forgemarketing.com).
- Archived when the project is complete.
4. Functional Lists
- it-support@forgemarketing.com— Submit IT issues (auto-generates a support ticket).
- hr-support@forgemarketing.com — Questions about payroll, benefits, or policies.
- events@forgemarketing.com — RSVPs and queries for company events.
Best Practices
- Always use the most relevant list — don’t default to “all@” unless necessary.
- Double-check recipients before sending sensitive information.
- Keep subject lines clear and specific (e.g., Client XYZ — Q3 Update Request).
- When possible, use the project management tool instead of email for task-related discussions.
